JUTHŪR / SERVICE BRIEF

AI Automation & Workflow Redesign

Less friction. More dependable work.

Connect the work between people, documents and systems. We redesign the process first, then apply rules, automation and AI where each is genuinely useful.

Business value

A useful automation does more than run faster: it reduces avoidable handoffs, makes exceptions visible and gives the team a clear way to recover when something fails.

When this service fits

For operations leaders managing repetitive information work, disconnected systems or growing backlogs. The starting point is a defined workflow—not a promise to automate every department.

01

What we work on

Scope follows your business context. These capabilities define the conversation—not a fixed package imposed on every organization.

01

Process redesign

Map triggers, decisions, ownership and exceptions. Remove redundant steps before choosing a tool.

02

Documents & knowledge

Extract, classify and route information with validation rules and human review where confidence or consequences demand it.

03

System integration

Connect approved business applications through available APIs, event triggers and controlled access.

04

Agents & voice workflows

Use bounded agents for defined tasks. Phone workflows can include enquiries, appointment coordination and follow-up, subject to consent, telephony availability and a clear human handover.

02

Where this becomes practical

Illustrative workflows—not client case studies. The solution and controls are defined for each engagement.

01Invoice intake

Current friction

Finance staff re-enter invoice fields and chase approvals.

Proposed direction

Capture fields, validate against business rules and route discrepancies to the responsible person.

Essential control: People approve payment; extraction alone never authorizes it.

02Customer enquiries

Current friction

Requests move between inboxes without a clear owner.

Proposed direction

Classify requests, retrieve approved information and prepare responses or assigned tasks.

Essential control: Escalate complaints, sensitive cases and uncertain answers.

03Appointment coordination

Current friction

Teams repeatedly call to confirm or reschedule appointments.

Proposed direction

Connect a voice or messaging workflow to approved scheduling data and record its status.

Essential control: Verify identity where needed; recording and outbound contact require an agreed lawful approach.

03

What you receive

Tangible deliverables that support a decision, implementation or operating handover. The final list is agreed before work starts.

Scope, timing, investment and support are agreed after discovery. No fixed outcome or timeline is assumed.

Current and proposed workflow

A process map showing which steps disappear, change, integrate or stay human.

Implementation specification

Data mappings, rules, permissions, exception paths and acceptance criteria.

Controlled pilot

A scoped workflow tested with representative inputs and agreed failure cases.

Operating handover

Runbook, monitoring requirements, owner responsibilities and improvement backlog.

04

How the engagement moves forward

  1. 01

    Understand

Establish the workflow boundary and record current performance.

  2. 02

    Redesign

Compare simplification, conventional automation and AI; choose the smallest useful intervention.

  3. 03

    Build & validate

Integrate in an agreed environment and test normal, exceptional and failed paths.

  4. 04

    Operate & improve

Handover ownership and review quality, costs and measured operational change.

05

How value is evaluated

Agree the baseline and measurement method before claiming an improvement. Include review, exceptions and ongoing operating costs.

Cycle time

Baseline to establish

Record elapsed time from intake to completed output.

What to evaluate

Compare equivalent case types, including review and exceptions.

Error and rework

Baseline to establish

Sample current corrections and reopened cases.

What to evaluate

Track validation failures and downstream corrections, not just extraction accuracy.

Operating cost

Baseline to establish

Include staff handling, licenses and current processing costs.

What to evaluate

Add AI usage, maintenance and review before estimating net value.

What we need from your team

A process owner, representative cases, current volumes, system documentation and approved access. Masked or synthetic data can support early design; real operating conditions are needed for final validation.

Scope & responsibilities

Not every workflow needs AI. High-impact actions, unavailable integrations or unreliable source data may require redesign or a narrower pilot. Savings and autonomous operation are not guaranteed.

06

Questions before we begin

Can you work with our existing systems?

We assess API availability, access permissions, data quality and contractual restrictions first. Where direct integration is unavailable, we propose an alternative or identify the gap.

Does automation remove human review?

No. Review is designed around risk, ambiguity and authority. Financial, legal or other high-impact actions may remain explicitly human-approved.

How do we measure whether it worked?

Agree a baseline and acceptance criteria before building, then compare equivalent work with all review and operating costs included.

Are voice agents part of this service?

They can be, when calling is appropriate for the workflow. Language and dialect performance, consent, call escalation and local telephony constraints must be tested.
